What personal data we collect on our website and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Who we share your data with

We never intentionally share your data however when you use our site, the contact form may identify you to wordpress.org

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. Any information you provide us with in therapy sessions is retained for five years.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.

Your contact information

We hold our clients and students contact information only for the purposes of providing the therapy or training services that you have approached Hypnosis Scotland Ltd and asked us to provide for you. We do not use your contact information for any other purpose such as marketing and we hold all contact information confidentially.

How we protect your data

The electronic data we store is password protected and stored safely.

 

Contract data retention statement:

Hypnosis Scotland Ltd use your details for running our business, including contacting you about appointments. We will not contact you for any other purpose.

 

Your basic data will be kept for five years after the end of therapy or when we last hear from you. After this time paper records will be safely destroyed by shredding and will be unavailable for a data request.

 

Any email, text or other electronic correspondence between Hypnosis Scotland Ltd and clients will be kept for five years and will then be deleted from our computers. We do not store your details on third party cloud systems.

 

You have the right to ask to see the information we hold about you. If you wish to see this please ask to view it in a session.

 

You can ask us to change any information that we hold about you that is incorrect.

You have the right to ask us to delete information that we hold about you, which we will do, except for that which we have a legal obligation to keep – for example, for our business tax purposes.
